Version 2026-10-09b · Last updated October 9, 2026 (no change in substance; version aligned with the Terms)
This Privacy Policy describes how Martinez Family Partners LLC, doing business as Kairos Real Estate Systems ("Kairos," "we," "us," or "our"), collects, uses, discloses, and protects your information when you use our platform at kairosrealestatesystems.com (the "Platform"). By using the Platform, you agree to the practices described in this Policy. If you do not agree, please do not use the Platform.
When you create an account, we collect your email address and authentication data. Your password is cryptographically hashed by our authentication provider — we never have access to your plaintext password. At sign-up we also record your acceptance of our Terms of Service (including a timestamp) and your optional marketing-communications preference.
When you subscribe to a paid plan, your payment information (such as card or bank details) is collected and processed directly by our third-party payment processor. We do not store full card numbers, bank account numbers, or other payment credentials on our servers. We receive from the payment processor only limited information necessary to manage your account, such as your subscription tier, billing status, and transaction confirmations.
We collect information about how you use the Platform, including:
When you access the Platform, we and our service providers automatically collect certain technical information, including a one-way hash of your IP address (we do not store the address itself or derive a location from it), device and browser type, operating system, referring and exit pages, page views, and interaction and diagnostic data. We use this for security, fraud prevention, troubleshooting, and to understand and improve how the Platform is used. Some of this information is aggregated and does not identify you individually.
First-party logging; no session replay or advertising pixels. This logging is performed by our own servers and by our own code on the Platform (for example, a page-view request sent to our server when a page loads). We do not use session-replay software, third-party advertising pixels, or cross-site tracking. By creating an account or using the Platform you consent to this first-party recording of your page views, screen requests, and in-app actions. If we ever add a third-party analytics or replay tool, we will update this Policy and ask for your consent before it runs.
We use the information we collect to:
We do not sell or rent your personal information, and we do not share it with third parties for their own marketing purposes.
Where applicable law requires a legal basis for processing, we rely on the following: performance of a contract (to provide the Platform and manage your subscription); our legitimate interests (to secure, analyze, and improve the Platform and prevent misuse), balanced against your rights; your consent (for optional marketing communications, which you may withdraw at any time); and compliance with legal obligations (such as tax, accounting, and record-keeping requirements).
We use an authentication session token stored in your browser's local storage to keep you signed in; it is used solely for authentication. We use cookies and local storage only for authentication, security, and essential functionality. Usage analytics are collected by our own servers, as described in Section 01. We do not use cookies for third-party advertising, and we do not sell information collected through these technologies. You can control cookies through your browser settings, though disabling them may affect functionality.
We send transactional and account-related messages (such as receipts, security notices, and service notices) as a necessary part of the Service; these are not promotional and you cannot opt out of them while you have an account. Separately, we may send marketing or promotional emails only where you have opted in. In accordance with the CAN-SPAM Act and other applicable law, every marketing email identifies Kairos as the sender, includes our postal address and a working unsubscribe link, and we honor opt-out requests within ten (10) business days. You may also update your preferences or opt out by contacting us at the address below. We do not send text messages unless you separately and expressly opt in to them in writing; consent to texts is never a condition of purchase, and you may stop them at any time by replying STOP, which we honor within fifteen (15) days.
The Platform compiles information from official government records for Miami-Dade County on your behalf. The data returned is official-record information made available under Florida's Public Records Act, Fla. Stat. ch. 119. We aggregate and present it to you through the Platform — we do not sell or redistribute raw government data, and we do not create or correct the underlying records; requests to correct a official record must go to the agency that publishes it. Protected persons. If your identifying information is exempt from public disclosure under Fla. Stat. § 119.071(4)(d) and it appears in the Platform, contact us at the address below with the publishing agency's confirmation of the exemption and we will suppress the record within ten (10) business days.
We rely on third-party service providers to operate the Platform. We describe them below by role only; each operates under its own privacy and security practices, and we share with each only the information needed for its function. We select providers that maintain industry-standard security practices, and we do not authorize them to use your personal information for their own purposes.
| Provider Role | Purpose | Data Shared |
|---|---|---|
| Database & authentication provider | Account authentication & data storage | Email, hashed password, account data |
| Payment processor | Subscription payment processing | Payment method, billing details |
| Cloud hosting provider | Backend application hosting | Application data in transit |
| Website hosting / CDN provider | Frontend hosting & content delivery | Static assets, request metadata |
| Email delivery provider | Transactional & opted-in emails | Email address, message content |
We may also disclose information where we believe in good faith it is necessary to comply with law or valid legal process, enforce our Terms, protect the rights, safety, or property of Kairos or others, or in connection with a merger, acquisition, financing, or sale of assets (in which case we will require the recipient to honor this Policy).
We retain your account data, including search history and watchlist selections, for as long as your subscription is active. Cancelling a paid subscription does not close your account: your account continues on the free plan and your saved data and any purchased screens remain available. If you close your account, or we terminate it, we retain your account data for thirty (30) days to allow an export request or reactivation, after which it is deleted from our active systems — except the record of your acceptance of our Terms and Privacy Policy, billing records, and anything we must keep for tax, dispute, legal-hold, or security purposes. We may retain limited information for longer where necessary to comply with legal, tax, accounting, or security obligations, resolve disputes, or enforce our agreements, and we may retain aggregated or de-identified data that does not identify you indefinitely.
Subject to applicable law, you have the right to:
Kairos is not a "controller" under the Florida Digital Bill of Rights, Fla. Stat. § 501.701 et seq., but we honor these requests voluntarily for every user. To exercise any of these rights, contact us at kairosresystems@gmail.com. We will respond within forty-five (45) days, and we may need to verify your identity before acting on a request. We will not discriminate against you for exercising these rights.
We take reasonable and appropriate administrative, technical, and organizational measures to protect your information, including:
While we strive to protect your personal information, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security. You are responsible for keeping your login credentials confidential.
We maintain procedures to detect, investigate, and respond to security incidents, and we treat the measures described above as the reasonable measures required by the Florida Information Protection Act, Fla. Stat. § 501.171. The personal information we hold that is covered by that Act is limited to your email address in combination with your (hashed) password; we do not hold Social Security, driver's license, or full payment-card numbers. If we determine that a breach of security has exposed your personal information, we will notify you at your account email as expeditiously as practicable and no later than thirty (30) days after that determination, and we will notify the Florida Department of Legal Affairs where the Act requires it. Under Fla. Stat. § 501.171(6), service providers that hold your personal information for us must notify us of a breach no later than ten (10) days after determining it occurred. When records are no longer needed, we dispose of them by erasing or otherwise rendering them unreadable.
Some browsers offer a "Do Not Track" (DNT) signal. Because there is no consistent industry standard for how to interpret DNT signals, the Platform does not currently respond to them. We do not track users across third-party websites for advertising purposes.
The Platform is not directed at individuals under the age of 18, and we do not permit their use of the Platform. We do not knowingly collect personal information from anyone under 18. If you believe a person under 18 has provided us with personal information, please contact us at kairosresystems@gmail.com and we will promptly delete it.
We may update this Privacy Policy from time to time. When we make material changes, we will notify you via the email address associated with your account and/or by posting notice within the Platform at least fourteen (14) days before the changes take effect. The "Last updated" date at the top of this page reflects the most recent revision. Your continued use of the Platform after the effective date constitutes acceptance of the updated Policy.
If you have questions or concerns about this Privacy Policy, please contact us at kairosresystems@gmail.com.
